Many are older tools refreshed with AI capabilities slapped on top.
Others are clever new wrappers for powerful models like OpenAI’s GPT-4 or Meta’s Llama.
But let’s be honest—cutting through the noise to find handy tools can be exhausting.
So, I’ve done the hard work for you. Below is my curated list of AI-powered apps I rely on daily.
From productivity boosters to creative powerhouses, these apps live up to their promises and save me time and effort.

Not everyone needs AI tools the same way. Some prioritize creative design, others need help managing their workflows, and many seek ways to enhance team collaboration.
My daily workflow requires a mix of productivity boosters, creativity, and task organizers that keep everything running smoothly. These are my workhorse applications—I rely on daily to get things done efficiently and effectively. Whether you’re looking for inspiration or practical solutions, this list has something for everyone.
Productivity & Writing
1. ChatGPT
ChatGPT Custom GPT Interface
What It Does: A versatile AI assistant capable of drafting emails, writing code, conducting research, and generating creative ideas. One new addition to take note of is the new Tasks feature that allows you to schedule tasks and is the beginning of agentic AI in
Why I Like It: ChatGPT is unmatched for versatility. I rely on it daily for content drafting, brainstorming, and organizing complex information. It’s my go-to tool and Swiss army knife. I like using the Canvas feature to help brainstorm on prompts or new text. Once I am done, I take the prompts that I use a lot and create Custom GPTs. Then, I add appropriate knowledge. For example, I have a prompt I use to create the titles of this newsletter; I also have a number of examples from Brad Wolverton, a master of email titles from his time at The Hustle, along with examples that worked well for me in the past.
What It Does: A conversational AI assistant with strengths in copywriting, coding, research organization, and long-form discussions.
Why I Like It: Claude is my go-to for in-depth copywriting tasks and organizing ideas through its excellent “Projects” feature. Also I find it useful for creating small custom applications for non-coders.
What It Does: An AI-powered grammar and style assistant that ensures clear, mistake-free writing across platforms.
Why I Like It: Grammarly is essential for polishing my communication, whether drafting emails or writing articles. However, I use this exclusively in browsers, and it often has trouble parsing text, inserting double commas, or other things. However, it’s still the best option for spelling and comma usage.
What It Does: A research assistant by Google analyzes your notes and documents, providing summaries and insights to speed up information processing.
Why I Like It: NotebookLM simplifies research by synthesizing insights from multiple sources, saving me hours of manual review. I like to add my training materials to Google Drive and then share them with NotebookLM to create training briefs and new presentations based on the work I have already done.
What It Does: A highly customizable database and productivity suite that combines note-taking, project management, and collaboration into one flexible platform. It has native AI integration so you can brain storm and create documents with the help of AI. It’s not any better or worse than
Why I Like It: Notion makes creating composable pages for various projects and tasks easy. It also allows me to share pages externally on the web, making it perfect for collaborative or public-facing work.
Meeting Management
One of the hardest things to do is take notes while leading a meeting. That’s why I love these types of applications I could have added Otter.ai and others but Fireflies is my goto.

Why I Like It: The synced video and transcript feature is invaluable for keeping track of meeting discussions and actionable takeaways.
How I Use It: I use the transcripts from customer interviews to create case study drafts, streamlining my content creation process.
Search, In-App Help & Agents
What It Does: A cutting-edge AI platform that leverages agentic searches to analyze vast numbers of websites, collating data into actionable insights. It also integrates the Gemini model for generating comprehensive, high-quality reports.
Why I Like It: Its ability to plow through massive data sources and produce polished reports with Gemini makes it an invaluable tool for deep research and informed decision-making.
What It Does: A customizable, AI-powered search engine that combines multimodal results for more intuitive and personalized searching.
Why I Like It: You.com’s flexibility and tailored results make it an excellent alternative to traditional search engines. I also like the ability to do simple agentic tasks, but this capability is slowly becoming part of other platforms and Google Deep Research is starting to take it’s place in my toolbox.
What It Does: Is a browser extension that acts as a plagiarism detector, text humanizer, AI detector, paraphraser, grammar checker, image generator, and more
Why I Like It: While I use Grammarly for first-pass grammar and error checkers, I like JustDone because its writing style is much better than Grammarly's. That way, I can stay in the app, like I am in Beehiiv, my newsletter software, without breaking my concentration and flow.
What It Does: An in-app AI assistant that provides context-aware guidance and tips for mastering software workflows.
Why I Like It: Sidebar significantly reduces the learning curve when using new tools, making me more efficient.
AI Agents
This is the section I have the least conviction in. I love automation, but I think the landscape around agents is changing fast. For example, ChatGPT Tasks is a new agentic capability from OpenAI as is there
What It Does: Create, train, and launch AI agents to streamline tasks, conduct research, and work together in real-time. Provide them with your preferred tools and up-to-date knowledge for continuous productivity. Your AI agents learn and adapt, assisting in transforming ideas into swift actions.
Why I Like It: Taskade makes managing team projects seamless, with intuitive design and AI-enhanced collaboration features. I like it because you can create and share agents across a team with role-based access to agents.
What It Does: A platform for building, training, and deploying custom AI agents for automation and workflow enhancement.
Why I Like It: MindStudio simplifies creating bespoke AI solutions for repetitive tasks. MindStudio is a combination of no-code agent builder and you can drill into configuration if you are more technically inclined.
Coding Assistants
What It Does: An intelligent coding assistant that helps with real-time code completion, error checking, and debugging.
Why I Like It: Cursor dramatically speeds up coding with its smart suggestions and error insights, making it a must-have for developers.
What It Does: A terminal-integrated AI assistant that helps with coding, debugging, and project management, working seamlessly with Git.
Why I Like It: Aider integrates deeply with my coding workflow, enabling efficient edits and refactoring directly from the terminal.
Video & Image Creation
I suspect I will add OpenAI’s Sora at some point but as of today I haven’t played around with it enough but the outputs from others is simply amazing.
What It Does: An AI-powered video editing suite includes features like video synthesis, object removal, and real-time collaboration.
Why I Like It: Runway is perfect for creating polished marketing videos and experimenting with creative visual effects.
What It Does: A text-to-video tool that allows you to create videos featuring AI avatars in over 140 languages.
Why I Like It: Synthesia streamlines video production, making it easy to create professional content without filming.
How I Use It: I use Synthesia for videos that need frequent updates, such as training videos where version numbers or information changes regularly—for example, OpenAI and Claude model updates.
What It Does: A tool for creating customizable AI avatars and digital twins for professional video production.
Why I Like It: Its ability to replace content seamlessly without re-filming is a massive time-saver. Quality is good but not great, they seem to be improving quickly.
What It Does: A professional-grade video creation platform that adds cinematic effects using Google’s Veo2 platform.
Why I Like It: Google VideoFX produces polished, high-quality videos ideal for corporate and creative projects. It’s rivalling Sora and I like the interface to edit and create videos over the Sora ChatGPT interface.
What It Does: A text-to-image generator specializing in creating stunning, artistic visuals.
Why I Like It: Midjourney is my go-to for creating visually captivating imagery for marketing and design projects. Most all designs in this newsletter are generated using Midjourney.
What It Does: A text-to-image generator tailored for creating images.
Why I Like It: Ideogram allows me to produce on-brand visuals quickly, making it a vital creative tool. Its strength is that it is one of the best image creation tools that doesn’t butcher the text in the generated images.
Ad Creation & Presentations
What It Does: Automates the creation of data-driven ad designs and campaigns for maximum impact.
Why I Like It: ADcreative.ai simplifies ad creation, providing actionable insights to improve performance. Though some of the designs are limiting, it’s a huge time saver.
What It Does: An AI-powered platform for brainstorming ideas and creating engaging, interactive presentations.
Why I Like It: Gamma makes presentations a breeze with sleek templates and built-in AI to guide content creation. I use Gamma to brainstorm ideas and convert documents into engaging presentations. However, I often tweak the final output in PowerPoint for added customization.
Prompt Organization
What It Does: A Chrome extension for efficiently organizing, storing, and managing ChatGPT prompts.
Why I Like It: PromptForge keeps my most used prompts handy and integrates into ChatGPT, Claude, and Midjourney.
Audio Creation
What It Does: An AI platform for creating lifelike synthetic voices for podcasts, audiobooks, and video content.
Why I Like It: Eleven Labs produces high-quality voiceovers that sound natural and professional, perfect for multimedia projects.
What It Does: Generates AI-driven background music tailored for ads, promotional videos, or personal projects.
Why I Like It: Suno creates the perfect mood for video projects or daily work playlists with minimal effort.
Why These Apps?
These tools go beyond the buzzwords and truly enhance how I work. Whether it’s managing projects, creating content, or brainstorming new ideas, they’ve become indispensable.

Using AI to Find AI Apps
This is one of my go-to prompts, and I’ve been using this for quite some time. I use this with ChatGPT Search but works equally well with You.com , Google Gemini, Microsoft Copilot or Perplexity.
